The moment everything changed

October 2020 will be remembered as the turning point. The acceptance of IMO Resolution MEPC.312(74) into MARPOL — the ink still fresh — gave the maritime industry its clearest signal yet: digital record-keeping was not just tolerable; it was the future. For Hafnia, one of the world’s leading product tanker operators, that signal provided the confidence to accelerate its digital transformation journey.

“This is the path to the future, and we committed to leading the way.” — Surajit Chanda, VP - Technical, Hafnia

By mid-2021, Hafnia began its structured rollout of digital logbooks in partnership with NAVTOR — a decision that would prove to be one of the most consequential operational choices in our recent history. It was early days for everyone: flag states, class societies, and port state control (PSC) inspectors were all still finding their footing under the new framework. Navigating that uncertainty demanded a partner with depth — not just a software vendor.

Choosing the right partner — not just a product

Hafnia’s evaluation process was rigorous. Several solutions were trialed across the fleet, and the bar was set high. The criteria were clear:

  • Does the crew find it genuinely useful, or does it add friction?

  • Is the software actively evolving, with a credible product roadmap?

  • Does the vendor have a full command of the regulatory landscape?

  • Can they provide an end-to-end solution, not just a standalone tool?

NAVTOR Digital Logs emerged from that process as the clear frontrunner. What set NAVTOR apart was partnership: a team that understood the regulatory complexities, engaged proactively with compliance queries, that built a product that grew alongside the industry’s evolving needs.

Navigating the early challenges

The road to a paperless fleet was not without its challenges. Hafnia’s team encountered class surveyors who were less experienced with digital records, requests for onboard audits, and inconsistencies in flag-state interpretations among classification bodies. Each circumstance required a evidence-based response and a partner capable of providing expert support throughout the process.

Hafnia’s conviction was however firm, that the compliance infrastructure landscape would mature, and those who had invested early in robust digital infrastructure would be the ones best positioned when it did.

“We were among the first to go fully paperless onboard and it has been gratifying seeing the compliance landscape evolve along the way.” — Surajit Chanda, VP - Technical, Hafnia

Where we are today: 21 logs, zero paper

Today, Hafnia maintains over 21 logs in fully digital format across the fleet, encompassing all environmental compliance logs and many operational records. The transformation has been total. And the benefits are measurable:

  • Reduced administrative burden on board: Outdated paper-based practices have been eliminated, allowing officers to focus on what matters.

  • Seamless regulatory transitions: New requirements, such as the Ballast Water Log, can be adopted quickly and efficiently without disrupting vessel operations.

  • Consistent, compliant record-keeping fleet-wide: No dependency on individual training levels or interpretations; the platform enforces consistency across the fleet.

  • Real-time environmental KPI tracking: Accurate, always available data supports Hafnia’s environmental commitments and reporting obligations.

  • Positive outcomes with Oil Majors and PSC: Enhanced transparency has turned compliance into a competitive advantage. Inspectors see a fleet that is organised, accountable, and ahead of the curve.

  • Simplified compliance monitoring: Shore-side teams can track compliance status fleet-wide without placing an additional load on ship or office staff.

Looking ahead: AI, efficiency, and the next frontier

Hafnia continues to expand its digital footprint, evaluating digital checklists to unlock the benefits of real-time compliance checks, and exploring how the platform can support predictive risk management and operational intelligence.

As the industry steps into the era of artificial intelligence, Hafnia is uniquely positioned. The digital foundation built over the past four years is now the launchpad for a new generation of efficiency gains. Risk mitigation, continuous improvement, and data-driven decision-making — once aspirational targets — are now firmly within reach.

“We are now able to leverage our digital platform to reach new levels of efficiency. Risk mitigation and continuous improvement are no longer elusive; they are inevitable.” — Surajit Chanda, VP - Technical, Hafnia

A journey built on people, vision, and the right partnership

Credit belongs, first and foremost, to Hafnia’s crew — the men and women who embraced change at sea, adapted quickly, and made digital compliance a lived reality on board. Credit belongs equally to the onshore management team, whose strategic foresight and support created the environment for this transformation to succeed.

NAVTOR provided the software and supported Hafnia throughout the journey, responding to edge cases, engaging with regulators, and continuously improving a platform that has become central to Hafnia’s operations.

For organisations considering the leap to digital logbooks, Hafnia’s experience offers one clear message: The right partner makes all the difference.
